
Choosing a giving provider is about helping your church receive and care for your congregation’s gifts. A good rate matters, and so do clear reports, dependable support, and tools your staff and volunteers can use confidently.
Use these questions to compare providers, including villaDeus. Keep a short list of the answers so your finance team or church council can review them together.
Know who will help your church
Confirm the company name on your agreement and ask who will help you get started, answer everyday questions, and handle urgent problems. Find out whom to contact when your usual person is unavailable.
Ask how the team handles a problem from the first report through the fix. You should know where to turn and how you will receive updates.
Understand the costs and agreement
Compare card and bank giving rates, the fixed fee for each payment, and any monthly fees. Ask about charges for failed or disputed payments, extra services, and moving to another provider. Check which agreement covers each service.
If the website and agreement seem to say different things, ask for a written explanation. Your team should understand any additional charges and what happens if your church ends the service.
Try the tasks your team does each week
Ask to see how you would find a gift, check the ministry it supports, read a report, and match gifts to a bank deposit. Use sample information so the demonstration does not expose a donor’s private details.
Bring a short list of your everyday tasks to the demonstration. If you need the giving platform to work with other church software, ask what information passes between them, whether it moves both ways, and what your team will still need to enter by hand.
Ask how donor information is protected
Find out which company runs the giving software and which processes payments. Ask each provider to explain its security responsibilities and share current supporting information. A payment processor’s security checks do not necessarily cover the separate giving software.
Ask what your church needs to do, too. Who should have access? How do you remove access when a staff member or volunteer changes roles? What is the safe way to share donor information when help is needed?
Know what support to expect
Ask how to reach support, when it is available, and which time zone those hours follow. If a provider promises a response within a certain time, clarify whether that means an initial reply or a completed fix. Find out what to do about an urgent problem outside normal hours.
Also ask how your church can keep its records if it moves to another service. Saved payment methods, recurring gifts, and giving history may need different transfer steps. Understand those steps before you need them.
Learn from other churches
If a customer is willing to serve as a reference, ask about the same giving tools and tasks your church will use. Questions about reports, support, and the weekly work will tell you more than a general recommendation.
When a provider shares savings figures or other results, ask what they include and how they were calculated. An example can help you compare costs, but it is different from another church’s actual results.
Bring the answers to your team
Keep your notes simple: what your church needs, what you learned, any questions still open, and who will follow up. Mark each question answered when your team has enough information to decide.
The goal is not more paperwork. It is a clear conversation about which provider will best support your ministry and the people who care for its gifts.
